Privacy policy

This policy explains what personal information Small Steps Educational Childcare collects through this website, why we collect it, who we share it with, and how you can ask us about it. We try to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988.

Who we are

What personal information we collect

We collect personal information through this website in these ways.

• Enquiry and tour request forms. You give us your name, email address and phone number. You may also give us your child’s name, your child’s age, a preferred start date and a message.
• Booking a tour. The tour booking page uses a booking tool provided by Zoho. It collects the details its form asks for, such as your name, contact details and a time that suits you.
• Website analytics. We use Google Analytics 4 and Google Tag Manager to count page views and clicks (for example, which pages are visited and whether someone taps the phone number or sends the form). We have turned off the Google Analytics options that share this data with other Google products and services. The events we record do not include what you type into our forms. We also look at Google Search Console reports, which show combined search statistics rather than information about individual visitors.

Why we collect it and how we use it

• to reply to your enquiry and give you the information you asked for;
• to arrange a tour of the centre;
• to manage enrolment if you decide to enrol your child;
• to understand how people use the website so we can improve it.

We use your information for these purposes, or for a purpose closely related to them.

Children’s information

We ask only for the details we need to reply to your enquiry. Please do not put health or medical details, or other sensitive information, in the message box on our forms. If you need to tell us something about your child’s health, please talk to us directly, by phone or when you visit.

Who we share it with, and where it goes

We use trusted service providers to run the website and handle enquiries. When you send us an enquiry or tour request, your details go to these providers.

• Microsoft Azure (Australia). Our enquiry form is processed by a Microsoft Azure service in Australia (Australia East). It receives your enquiry and passes it on.
• Zoho (Australia). Your enquiry is saved in our customer records system, Zoho CRM, using Zoho’s Australian data centre. The tour booking tool is also provided by Zoho, using its Australian data centre.
• Mailjet (outside Australia). We send two emails for each enquiry: a confirmation to you and a notice to the centre. Mailjet delivers these emails. The emails repeat what you entered, including your child’s name, your child’s age and your message. Mailjet stores data in data centres in Germany and Belgium, in the European Union, so this information is disclosed to a recipient outside Australia.
• Google (outside Australia). Google Analytics and Google Tag Manager are provided by Google, which processes this information at locations outside Australia.

We may also disclose personal information where the law requires or authorises it. We take reasonable steps to make sure our service providers, including those outside Australia, handle personal information appropriately.

Cookies and website analytics

Our analytics use cookies and similar identifiers set by Google so we can count visits and clicks. They tell us what is used on the website; they do not tell us your name. You can block or delete cookies in your browser settings, or install the Google Analytics opt-out browser add-on (opens in a new tab). Blocking cookies will not stop the website or the forms from working.

Keeping your information secure

This website is served over an encrypted HTTPS connection, and it is hosted on Microsoft Azure. Enquiry details are processed by a Microsoft Azure service in Australia and stored in Zoho CRM. We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

How long we keep it

We keep personal information only for as long as we need it for the purposes above or as the law requires, then securely delete or de-identify it.

Access and correction

You can ask to see the personal information we hold about you, or ask us to correct it if it is wrong or out of date. Contact us using the details above and we will respond as soon as we reasonably can. If we cannot give you access or make a correction, we will tell you why.
